You will be supporting the organization through a variety of administrative tasks, providing resources, and assisting in projects. As the first point of contact for many of our visitors and employees, you are a solution provider and create a memorable customer-centric experience through each interaction. This role is an essential member of the operation’s team and is expected to be in the office 5 days a week.
Responsibilities
Execute day to day operations of the office, including:
- Oversee conference room scheduling, report generation, inventory assessment, employee systems training.
- Assist in office tasks such as purchasing office supplies, making sure the office space is presentable, and coordinating with building management. Ensure office space, including conference rooms and kitchen, are set up, stocked and presentable for meetings with external clients.
- Support the training of staff on the systems including video conferences, teleconferences.
- Keep office assets, agency subscriptions, and other internal information up to date and distributed on an as-needed basis.
- Performs all duties and responsibilities in a timely and effective manner in accordance with established company policies to achieve the overall objectives of this position.
- Support senior staff with expenses reports, travel and miscellaneous requests.
- Participate in ad-hoc projects and perform other office, administrative and event related duties as assigned.
- Support the HR team with onboarding new hires and terminations paperwork.
Qualifications
Candidate must have a minimum of two years of experience as an executive assistant or office support. Other qualities include:
- People oriented. You are comfortable working with others and interacting with high levels of management. You consider yourself to be compassion, energetic and as a team player.
- Problem solver. You are an adept problem solver with innate resourcefulness and solution orientation; ability to prioritize and change direction when needed.
- Tech-savvy. You are proficient with Microsoft Office 365 applications such as Outlook, PowerPoint, Word, and Excel.
- Stellar organizational skills. You have the ability to juggle responsibilities throughout the day and understand how to prioritize these demands.
- Ethical: You have a solid work ethic and can be trusted to handle confidential information.
